Job Title: Finance and Office Administrator
Salary: £25k - £30k per annum depending on experience
Hours: 40 hours per week, Monday - Friday, 8am - 5pm
Location: Supersets London Ltd, Depot, Thomas Lane, Catford SE6 4SA

Role summary

We are seeking an exceptional Finance and Office Administrator to join our team. We are currently in an exciting period of growth and the successful candidate will play a vital role in the next stage of development.

The Finance and Office Administrator will be responsible for providing comprehensive financial, administrative and marketing support to the Supersets office, ensuring sound budget control & financial reporting systems are developed & maintained across the organisation.

The role will suit a well organised and methodical individual that enjoys working within a small team and has a flexible approach to prioritising and executing their duties. You should be happy working within a versatile, growing organisation as well as having an affinity for developing and maintaining effective systems and routines.

The ability to work independently and to communicate effectively with others so as to provide and receive required information is vital for this role, as is having a proactive and driven approach to work. We are looking for an individual with excellent bookkeeping and time management skills and the ability to prioritise effectively and respond rapidly to shifting demands.

Key Responsibilities

Receiving and recording supplier invoices and processing them within the accounting system
Raising, recording and sending out sales invoices and processing the transactions within the accounting system
Chasing late payments to ensure swift resolution
Inputting accounting data into the accounting system with speed and accuracy
Reconciling company bank transactions
Processing payroll and managing payments and submissions to HMRC
Processing VAT returns
Managing pension auto enrolment records, compliance reporting & processing monthly pension provider payments
Completing regular data entry and spreadsheet updates
Processing expenses claims and petty cash
Processing staff credit card and trade card expenses / reconciliation
Efficiently entering accurate data for project specific budgets and cost monitoring
Resolving finance related queries as first point of contact for internal and external stakeholders


Maintain an efficient office environment undertaking routine clerical duties including filing, deal with post, coordinating stationary orders etc
Attend to postal, telephone and email enquiries in a timely manner
Issue contracts and information packs to new starters, ensuring that accurate and complete staff records are maintained
Assist with maintaining up to date health and safety records / policies and accident books etc, ensuring compliance with Health & Safety Regulations
Arranging and booking accommodation and travel
Evaluate and improve administrative processes


Plan and deliver online marketing campaigns through social media, writing and proof-reading engaging marketing copy where necessary
Maintain and update content on the Supersets website / blog
Regularly evaluate the effectiveness of all marketing activity
Keep a comprehensive record of clients and jobs completed
Responsible for ordering and maintaining stock levels of company branded merchandise


Participate in training initiatives relevant to the duties of the post
Undertake such other responsibilities as shall be assigned from time to time
Ensure compliance with company policies and procedures at all times
Act as a premises key holder, responsible for opening and locking up procedures on occasion
To provide office IT support and troubleshoot problems where necessary


Essential skills and experience:

Self motivated, highly driven and enthusiastic
Minimum two years experience in an administrative role

Bookkeeping experience / a good understanding of financial processes and procedures

Experience using Xero accounting software

High level of competency with Microsoft Office software
Experience creating and maintaining spreadsheets
Professional telephone and email manner
Excellent attention to detail
Experience creating engaging marketing copy

Ability to work independently and ask for clarification where needed

Exemplary time management and organisational skills

Ability to communicate effectively and to work well as part of a team

Experience using Mac computers and software

Ability to exercise the highest level of confidentiality

Excellent problem solving and analytical ability
Good working knowledge of health and safety regulations and RAMS
Knowledge of social media platforms

Desirable skills:

Understanding of data protection and the GDPR regulations
Experience working as part of a small team in a similarly varied role
Recognised finance qualification
Experience using Wordpress
First Aid at Work Certificate
An interest in scenery construction for the Film and TV industries
